Position Overview: The employee in this position assists the Pastoral Ministries Associate with office tasks. Responsibilities can range from composing chapel service bulletins to entering data and maintaining financial records for the Protestant Congregation.  The Pastoral Assistant is expected to assist the Minister during Protestant Congregation Sunday services and special services.  The employee must also respond to resident needs and requests and foster goodwill for the Resident Services Department.

Essential Functions and Responsibilities: include the following. Other duties may be assigned.

  1. Must have excellent computer skills (Word, Excel, Power Point), strong typing skills as well as familiarity with the phone, printer, fax, and copy machines.
  2. Candidate must have proofreading and editing skills. This department generates program bulletins, notices, and letters, among other written material. Precision regarding spelling of names, correct forms of salutation, proper grammar and other information is necessary.
  3. Must have strong math skills, to include knowledge of accounting. This department receives monetary contributions and makes bank deposits to various fund accounts each week. Accuracy and reliability in the recording of transactions are essential.
  4. Assist with administrative functions that support the operation of the department to include tracking and maintaining office inventory, ordering equipment and supplies, copying, faxing and printing.
  5. Candidate will be responsible for preparing check and petty cash requests.
  6. Assists in the preparation of special events and services.
  7. Enhances the organization, efficiency and effectiveness of the Department by assisting in conducting ongoing quality improvement initiatives in all areas of service.
  8. Maintains confidentiality of resident information.
  9. Consistently strives to be a productive member of the Community.
  10. Serves as a member of committees as requested.
  11. Performs other duties as assigned.

The employee in this position must be discrete, trustworthy, and flexible. The qualities of self-initiation and good follow-up skills are imperative to success in this position.  Discretion is essential because of information (personal and financial) in the files pertaining to donors, scholars, residents, and staff.  Candidate must also possess excellent people and phone skills since interaction with the residents is frequent.

 Education and/or Experience:  Special Events experience.  Strong proofreading and editing skills.
