Position Overview: The Administrative Assistant is responsible for clerical/secretarial duties. This person should be able to handle and maintain secretarial/administrative duties in a very professional manner, able to work very close with the Director and give support to others as needed.  This individual must be computer literate with knowledge of Microsoft Office and must be willing to possible learn other application software relating to administrative functions.

Essential Functions and Responsibilities: include the following. Other duties may be assigned.

  1. Composes and types correspondence for Director or Manager.
  2. Administers and maintains the Director’s or Manager’s calendars using Microsoft Outlook. Schedules meetings and appointments.
  3. Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by Director.
  4. Arranges and coordinates travel schedules and reservations for the Director or Manager and staff.
  5. Schedule appointments/meetings for the department.
  6. Coordinate department events with Director.
  7. Prepares outgoing mail and correspondence, including e-mail and faxes. Open and date-stamp mail and distribute as requested.
  8. Answer the Director’s or Manager’s telephone when requested, screen and re-route calls as deemed necessary.
  9. Order and maintains supplies, and arranges for equipment maintenance for the department and code invoices to be approved for payment.
  10. Conducts research and compiles and types statistical reports.
  11. Faxes documents and copies material as needed for the department.
  12. Assist other employees in the department whenever necessary, if authorized or assigned by Director.
  13. Organizes and maintains file system, and files correspondence and other records.
  14. Handle other administrative duties as requested.

Education and/or Experience:  High School Diploma or GED.  Two to five years of administrative/secretarial experience.
